Saved reply generator for customer support

Choose a situation and a tone, add your name and product, then edit and copy a reply that sounds like a person wrote it. It runs in your browser and stores nothing.

By the Roper team · Published

The first answer to a new message, before you have the full answer.

Tone

Warm and conversational. Good for a small product with a personal voice.

4 placeholders to replace: {{first name}} · {{time or day}} · {{your name}} · {{product}}

Before you send: Only name a time you can keep. If you can't, write "as soon as I can today".

The short answer

A saved reply is a short, reusable message for a question you answer often. Good ones are two to four sentences, put the answer or the next step first, and leave blanks for the facts only you know. This generator writes one for eight common situations in three tones. Fill your name and product, replace each remaining {{placeholder}} with a real detail, and never promise a refund, fix date or outcome you can't guarantee.

Roper is made by the team that wrote this generator. The replies are plain templates written by hand, not AI output, and they run in your browser: nothing you type is sent anywhere.

How to use it

  • Pick the situation closest to the message you are answering. Each one has a note on when it fits and what to check before you send.
  • Pick a tone. Friendly suits a small product with a personal voice, professional suits billing and business customers, and brief suits live chat.
  • Add the customer's first name, your name and your product. The three are filled in wherever they appear. Leave one blank to keep its placeholder.
  • Replace what's left. Anything still in {{double braces}}, like a time, a policy or a workaround, is a fact only you know. The count under the text tells you how many remain.
  • Edit freely, then copy. The text box is yours to change. Switching situation or tone writes a fresh version.

Rules for replies you can keep

  • Don't promise what you don't control. A fix date, a refund before you have checked the charge, or a feature that is only an idea will all come back as a second complaint.
  • Name a time only if you will keep it. "By Thursday" helps. "Soon" doesn't, and a missed time is worse than none.
  • Answer first, apologise once. Put the answer or the next step in the first two lines.
  • Read it as the customer. Replace anything a customer wouldn't say out loud, and fix the saved reply if you had to edit the same line three times.

More templates

For a longer list, the saved replies pack has eighteen replies grouped by topic, and the support email templates cover longer emails.

Questions

Common questions

What is a saved reply?
A saved reply, also called a canned response or macro, is a pre-written message a support person inserts into a conversation and edits. It saves typing the same answer again and keeps the wording consistent.
How long should a customer support reply be?
Two to four sentences for most replies. Put the answer or the next step first, add one line of context, and link a help article if the customer needs more detail. Longer replies are fine for billing or legal topics, but get skimmed in chat.
Does this generator use AI?
No. The replies are templates written by hand, and your name and product are filled in by simple text replacement in your browser. Nothing you type is sent to a server.
Can I use these replies in any help desk?
Yes. They are plain text, so they work in any inbox that supports saved replies or canned responses. Roper's inbox has saved replies on every plan, and you can paste these in as they are.
Is it safe to send these replies as they are?
Not before you replace the remaining placeholders. Each one stands for a fact only you know, such as a time, a policy or a workaround. Read the care note under each situation, and check anything about money or deadlines against your own terms.
